Before you use it
- A rent ledger is a running record of every charge and payment for one tenant, with the balance after each line.
- Record charges when they are due and payments when they are received, never just the net amount.
- Keep the security deposit off the ledger as rent. It is a separate liability.
- A clean ledger is the first exhibit in a deposit or eviction case.
How to fill it in
- Underlined spaces are blanks to fill in. The small label says what goes there.
- Shaded boxes mark rules that change by state. Look up the rule where the property is located.
- Delete clauses that do not apply, and add any disclosures your state or city requires.

Rent Ledger
- Tenant name or names
- Property address and unit
- Lease start and end dates
- Monthly rent
- Rent due day
- Security deposit held (record separately, not as a payment)
How to keep it: add one line for every charge (rent, late charge, utility, repair billed to the tenant) and every payment or credit. Charges raise the balance and payments lower it. A positive balance means the tenant owes money; a negative balance is a credit. Never record the security deposit as rent.
