Tenant, 9:12 pmHi, are dogs allowed? We are thinking of adopting a beagle.
AI Receptionist, 9:12 pmYes, Harbor View allows one dog up to 40 lb with a $300 pet deposit. Send us the dog’s details and we add a pet addendum to your lease.Policy used: Pet policy, Harbor View

Answers, not just routing. And a clean hand-off when it should not answer.

  1. One reply desk for email and the portal

Questions that arrive at 9 pm on a Sunday get an answer at 9 pm on a Sunday, by email or right in the tenant’s portal thread. Texts join when your TenantLoop number is switched on (coming soon).

    Whenever a tenant writes
  2. It answers from your policies, not a script

Upload your pet, parking, trash or quiet-hours rules to the AI knowledge center, for one unit, a property or the whole portfolio. The agent answers only from those, the lease facts and our own safety guidelines, and the run records which policy it used.

    Before it says a word
  3. It does not make things up

It never invents an amount, a date or a rule, and never promises a repair date, a refund, a fee waiver or a rent change. Those stay your call. If a tenant reports a fire, gas or flooding, it tells them to get safe and call 911 first.

    When it cannot be sure
  4. The hand-off arrives ready to act on

Anything sensitive, any repair and any question your policies do not cover becomes a tenant request with the whole conversation attached, waiting for your review. Repairs go on to the Maintenance Ops agent once you approve.

What landlords ask first. And what actually happens.

Which messages does it answer?

Tenant emails and tenant-portal messages today, replying by email or in the portal thread. Texts when your TenantLoop number is switched on, which is coming soon. Separately, tenants can chat with the portal AI assistant (Pro and Premium), which draws on the same knowledge center. Phone calls join with the number as well: you will choose whether it picks up always, after hours or only when nobody answers. Automatic replies such as out-of-office emails are ignored.

Where do its answers come from?

It answers only from the policies in your AI knowledge center that apply to that tenant’s unit, property or portfolio, the lease facts and TenantLoop’s own guidelines. When no policy covers the question, it says nothing it is not sure of and opens a tenant request for you instead.

Does it act on its own?

Answering a question from your policies happens on its own: that is the point. Opening a tenant request holds for your review by default, so a repair or a sensitive issue does not move until you have looked at it.

What if it gets an answer wrong?

Every reply is in the conversation and the agent’s activity log, with the policy it used, so you can see exactly why it said what it said and fix the policy. You can turn the agent off for any single conversation and take over. A sent reply cannot be unsent.

Can a tenant keep it busy all day?

No. It answers up to 5 times per question and 10 times a day per person. Past that, the conversation comes to you.

Does it replace my front desk?

It takes the questions your policies already answer, so your team spends its time on the ones that need a person. Everything it cannot settle lands with your team, with the thread attached.

See it answer from your own policies.

We show you a run on sample policies. In the trial, add your own and test it.
