1. About this policy

This policy explains how TenantLoop, Inc. [confirm legal entity] handles personal information when you visit our websites, book a demo, or use TenantLoop as a customer, tenant, owner or vendor. When we process data inside a customer's account (for example their tenant records), we do so on that customer's behalf under our Data Processing Addendum, and the customer's own privacy notice also applies.

2. Information we collect

• You give us: name, work email, phone, company, portfolio size and messages you send.
• Account and usage data: sign-in events, settings, device and browser details, and how features are used.
• Customer content: property, lease, tenant, accounting and communication records that customers and their users enter.
• Payment data: handled by our payment processors; we receive limited details such as the last four digits and status.
• Cookies: see section 7.

3. How we use it

• Provide, secure and support the Service.
• Respond to demo requests and questions.
• Improve features, including AI features, using aggregated or de-identified data where possible.
• Send service notices and, where allowed, marketing you can opt out of.
• Meet legal obligations and prevent fraud and abuse.

4. AI and automated processing

AI features process customer content to answer questions, draft messages and complete tasks a customer configures. We do not use customer content to train third-party general-purpose models. AI features run on models from Anthropic (Claude). [Confirm provider data terms with counsel.]

5. How we share it

We share personal information with service providers who help us run TenantLoop (listed on Subprocessors), with payment and screening partners when you use those features, when the law requires it, or as part of a merger or sale with appropriate protections. We do not sell personal information.

6. Your choices and rights

Depending on where you live, you may have the right to access, correct, delete or port your personal information, and to opt out of targeted advertising. 7. Cookies

We use necessary cookies to run the site and, with your consent where required, analytics and advertising cookies. You can change your choice any time with the Cookie Preferences link in the footer.

8. Retention and security

We keep information for as long as needed for the purposes above or as the law requires, then delete or de-identify it. We protect it with encryption, access controls and monitoring.

9. Children

TenantLoop is not directed at children under 16, and we do not knowingly collect their information.
