Before you use it

  • Send a short reminder before the due date and a clear past due letter soon after the grace period ends.
  • List the balance line by line so the tenant can check it against their records.
  • Charge late fees only as the lease and state law allow.
  • A reminder is not a pay or quit notice. Eviction needs the formal notice your state requires.

How to fill it in

  • Underlined spaces are blanks to fill in. The small label says what goes there.
  • Shaded boxes mark rules that change by state. Look up the rule where the property is located.
  • Delete clauses that do not apply, and add any disclosures your state or city requires.

Rent Payment Reminder Letter

Use Letter A a few days before rent is due or on the due date. Use Letter B once rent is late. A reminder is not a legal notice to pay or quit. If you plan to start an eviction, you will need the formal notice your state requires.

Dear Tenant name,

Our records show that rent for the home above has not been received in full. The balance on your account as of Statement date is:

ItemPeriodAmount
Rent
Late charge
Other charges (describe)
Payments received
Balance due

Under your lease, rent was due on Due date and a late charge of $Late charge applies after Grace period end date.

Late fee rules: Check the rule in your state
Grace period: Check the rule in your state

Please pay the balance of $Balance due by Pay by date using Accepted payment methods. If you cannot pay in full, contact Contact name at Phone and email before that date to discuss a payment plan. Any plan must be agreed in writing.

If the balance stays unpaid, we may need to take the next steps allowed by your lease and by state law, which can include a formal notice. We would much rather resolve this with you directly.

Sincerely,
