The short version

  • A rent receipt proves a payment was made, for which period and how.
  • Always give a receipt for cash, and some states require one for cash or on request.
  • Number receipts in order and keep a copy with the rent ledger.
  • Show the balance due after the payment so there is no confusion about what is still owed.

What a rent receipt is

A rent receipt is a short written record that a tenant paid rent: who paid, how much, when, for which period and by what method. It protects the tenant, who can prove they paid, and the landlord, who can show exactly how each payment was applied. Paired with a rent ledger, receipts make payment disputes short.

When to use it

Give one for every payment, and always for cash, money orders and partial payments. Tenants also ask for receipts to prove their rent history to a new landlord, for a housing assistance program or for their taxes.

How to use the template

  1. Give each receipt the next number in your sequence.
  2. Fill in the date, the tenant, the property and the amount, in numbers and words.
  3. Show how the payment was applied: rent, late charge or other charges.
  4. Tick the payment method and add a reference.
  5. Show the balance due after the payment.
  6. Sign the tenant copy, keep the landlord copy and record the payment on the ledger.

What to include

  • A receipt number and the date.
  • The tenant’s name and the property.
  • The amount and the period it covers.
  • How the payment was applied.
  • The method and reference.
  • The balance due after the payment.
  • The name and signature of the person who received it.

Common mistakes

  • Writing paid in full when a balance remains.
  • No period covered, which makes it unclear which month was paid.
  • Unnumbered receipts, which makes a missing one hard to spot.
  • Cash with no receipt, a common source of disputes.

In TenantLoop, tenants pay by card or bank transfer from their portal, and each payment posts to the tenant ledger with its date and method, which gives both sides a lasting record of what was paid. A property can also issue its invoices, receipts and statements under its own name.

Filling it in, and what to watch for.

Do I have to give a rent receipt?

Several states require a receipt for cash payments, and some require one whenever a tenant asks. Even where it is not required, a receipt is good practice for every payment.

Is a bank or card payment confirmation enough?

An electronic confirmation that shows the date, amount, payer and what it was for usually serves as a receipt. A paper receipt is most important for cash and money orders.

Can a receipt be used against me?

A receipt that says payment in full can cause trouble if a balance remains. That is why this template lists the balance due and says it does not waive other amounts owed.
