Property management software holds an enormous amount of useful information: every lease, payment, work order, message and report. The challenge is getting to the right piece of it quickly. Finding an answer often means clicking through several screens, running a report and piecing the results together yourself.
Today we are introducing the TenantLoop AI Assistant, on the Pro and Premium plans, a simpler way to work with your portfolio. You ask questions in plain language, and the assistant helps you find answers, draft communication and understand what is going on, while you stay in control of every decision.
Ask questions about your portfolio in plain language
Instead of remembering where a number lives, you can ask the assistant directly. For example:
- Which tenants have an outstanding balance this month?
- What leases expire in the next 90 days?
- Which work orders are still open at a specific property?
- When did a particular tenant last make a payment?
- What is the current status of a unit?
The assistant looks across your TenantLoop data and returns a clear answer. You can always open the underlying records to check the details yourself. It is designed for the quick questions that come up dozens of times a day, the ones that interrupt your flow when they require digging.
Draft messages faster
A lot of property management is communication: payment reminders, maintenance updates, owner check-ins, vendor follow-ups and announcements. The assistant can draft these for you based on what you ask and the context in your account.
You might ask it to:
- Draft a friendly reminder to a tenant about an upcoming lease expiration.
- Write an update to an owner about a completed repair.
- Prepare a notice to residents about scheduled maintenance.
- Follow up with a vendor about an open work order.
Every draft is just that, a draft. You review it, edit anything you want and decide whether to send it. For tips on tone and timing, see our guide to tenant communication.
Tip: Treat AI drafts like a capable colleague’s first pass. A quick read for accuracy and tone keeps every message sounding like you.
Summarize work orders and ledgers
Some records tell a long story. A work order with weeks of updates, vendor notes and photos, or a tenant ledger with months of charges, payments and credits, can take a while to read through.
The assistant can summarize them for you:
- Work orders: what was reported, what has been done, who is assigned and what is still outstanding.
- Ledgers: recent charges and payments, current balance and any notable items such as late fees or credits.
Summaries help you get up to speed before a call with a tenant or owner, hand off work between team members or decide on a next step. The full records remain available whenever you need the details. Our work order process guide covers how to keep those records useful in the first place.
Find the right report
TenantLoop includes a wide range of reports, from rent rolls and delinquency to income statements and owner statements. Knowing which one answers your question is not always obvious.
You can describe what you are looking for, and the assistant will point you to the right report or help you answer the question directly. This is especially helpful for newer team members who are still learning where everything lives, and for owners of small portfolios who do not run reports every day. For more on what owners expect, read our owner reporting guide.
Permissions respected, humans in control
We built the assistant around two principles.
It respects permissions. The assistant works within the access each user already has in TenantLoop. If someone cannot see a property’s financials in the product, the assistant will not show them either.
People stay in charge. The assistant answers questions, drafts and summarizes. It does not send messages or make changes on its own. People review, approve and act.
These principles matter because property management involves sensitive financial and personal information and decisions that affect people’s homes. AI should make your team faster and better informed, not take decisions out of their hands.
How it fits with the rest of TenantLoop
The assistant works across the platform, including accounting, leasing, work orders and resident communication. It complements TenantLoop’s AI agents, such as the Maintenance Ops agent, which handle specific workflows within rules your team sets.

The bits people get stuck on.
Can the AI Assistant see everything in my account?
The assistant respects the permissions of the person using it. It works with the information that user is already allowed to access in TenantLoop.
Will the assistant send messages on its own?
No. The assistant drafts messages for you, and you decide whether to edit, send or discard them. You stay in control of what goes out.
What kinds of questions can I ask?
You can ask about your properties, units, leases, balances, work orders and reports in everyday language. Learn more on the AI Assistant page.
How is the assistant different from TenantLoop's AI agents?
The assistant works alongside you when you ask it for help. AI agents, such as the AI Receptionist, handle specific workflows like answering inquiries, with your team setting the rules and approving important actions.
